EVENTS AND PROMOTIONS COORDINATOR – JOB DESCRIPTION

If so, we want to hear from you! The Events and Promotions Coordinator creates meaningful events for our members to grow and build relationships. You’ll get the rare chance to meet a variety of difference-makers within Greater Vernon that enhance our region. This position is proactive with identifying events and promotional opportunities and collaborating with local partners and the Chamber GM to achieve them.
 
Event and Promotions Related Tasks and Responsibilities

  • Plan, promote and execute a diverse range of events which include:
    • Business After 5 monthly networking events
    • Annual Business Excellence Awards
    • Chamber Day of Golf
    • Community Expo
    • Christmas Cocktail Party
    • Rally the Valley - support local Christmas campaign
    • Mission Possible - support local tourism campaign
    • Election Forums
  • Implement and manage seamless event logistics:
    • Collaborate with manager to develop event budgets
    • Work within the budget to book venues and all other event requirements
    • Create event page in our management software and coordinate registrations
    • Coordinate venues, food, beverage, décor, speakers, audio, visual, live music, etc as needed
    • Assist with set-up
    • Oversee event timeline
    • Follow up thank you cards/emails for sponsors
  • Seek and secure sponsorships for events:
    • Approximately $65,000 worth of event sponsorships are sought and secured by the event coordinator each year.
    • Maintain accurate and up to date list of sponsorship records and invoice sponsors
    • Create sponsorship packages to include deliverables and investment. Ensure deliverables are met or exceeded.
    • Communicate consistently with event sponsors to ensure they are comfortable and familiar with their role and responsibilities at the event.
  • Develop innovative promotional strategies to attract and engage a diverse audience.
 
  • Create, design and write events e-newsletter. These go out every second week via Constant Contact:
    • Coordinate external information with non-profit organizations and paid E-blast sponsors that wish to place information in the events newsletter.
  • Manage all social media marketing for the Chamber: Facebook/Instagram/YouTube/LinkedIn:
    • Engaging, informative and weekly posts are necessary to maintain a positive online presence.
  • Attend activities and/or events on behalf of the organization, as directed.
  • Maintain an in-office presence and answer the phone and door as needed.
  • Collaborate with the Chamber team to develop and implement new event ideas and promotional strategies.
 
WHAT WE OFFER:
  • $45,000 - $55,000 annual salary.

REQUIREMENTS:
  • Proven experience in event planning and promotions.
  • Exceptional organizational and multitasking abilities.
  • Strong interpersonal and communication skills.
  • Proficiency in using event management software and social media platforms.
  • Creative thinker with the ability to generate innovative event concepts.
  • Flexibility to work evenings and weekends as required.
  • Full time/ In Office.
